Plain definitions for the terms that come up in inspection and site documentation work.
- EXIF metadata
The technical data a camera writes into an image file at the moment of capture, including date, time, GPS coordinates, and camera settings.
EXIF stands for Exchangeable Image File Format, and it is the block of technical data a camera or phone writes into an image file when the shutter fires. It typically records the capture date and time, the GPS coordinates if location services were enabled, the compass direction the camera faced, the image dimensions, and the camera or phone model. In field documentation this data is what turns a photograph into evidence, because it is recorded by the device rather than typed in afterwards. EXIF is fragile in transit: screenshotting an image, saving it from a messaging app, or exporting it through some editing tools strips the metadata entirely, which is why a photo that has been forwarded a few times often has no location or timestamp left.
- Geotagging
Attaching geographic coordinates to a photo so the location it was taken is recorded in the file itself.
Geotagging is the practice of attaching latitude and longitude to a photograph so its location travels with the file rather than living in a separate notebook or spreadsheet. On a phone this happens automatically when location services are enabled for the camera, and the coordinates are written into the image EXIF data at capture. For field work the value is that location becomes an attribute of the evidence rather than a claim about it: a geotagged photo of a foundation crack records where the crack is without anyone needing to remember. Geotagged photos can also be plotted on a map, which turns a set of images into a coverage record showing which parts of a site were documented and which were missed.
- Photo log report
A structured document pairing field photos with the date, location, caption, and coordinates needed to interpret them.
A photo log report is the deliverable that turns a set of field photographs into something a third party can act on. Each photo appears alongside its caption, the date and time it was captured, and usually its GPS coordinates, laid out at one or two images per page so each remains legible. The audience is rarely the person who took the photos, which is the point: an adjuster, an owner, a regulator, or an opposing expert reads the report without having visited the site, so anything that lived only in the photographer memory is effectively absent from the record. Photo logs are common in home inspection, construction progress reporting, insurance claims, and environmental site assessment.
- Camera bearing
The compass direction a camera was facing when a photo was taken, recorded in the image metadata.
Camera bearing, sometimes called heading or orientation, is the compass direction the camera faced at the moment of capture, recorded in degrees from north. Phones with a magnetometer write it into the EXIF data alongside the GPS coordinates. It resolves an ambiguity that location alone cannot: two photos taken from the same standing position facing opposite directions have identical coordinates but document entirely different things. That matters most where the subject repeats, such as four slopes of a roof, a run of identical utility poles, or the four elevations of a building, where the images themselves may be nearly indistinguishable weeks later.
- Chain of custody
The documented trail showing who handled a piece of evidence, when, and what was done to it.
Chain of custody is the record of who has handled a piece of evidence, when they handled it, and what happened to it at each step. It originates in legal and forensic practice, and it is applied to photographic documentation whenever the images may be challenged. For field photos the practical question is whether the image being reviewed is demonstrably the image that was captured, with its original metadata intact and no unexplained gap between the site visit and the report. Practices that support it include uploading photos promptly rather than letting them sit on a device, preserving original EXIF data rather than re-saving images, and generating reports from the stored originals rather than from copies that have been emailed around.
- Photo annotation
Drawing marks, shapes, or text directly onto a photograph to identify what the viewer should be looking at.
Photo annotation, also called markup, is the practice of drawing directly onto an image to direct attention. Typical marks are an arrow pointing at a defect, a rectangle or circle enclosing an area of damage, and a text label carrying a measurement or note. It exists because a wide shot showing context often fails to make the finding obvious, while a close-up that makes it obvious loses the context. Annotation lets one photograph do both. For a report that will be read without the photographer present, annotation is frequently the difference between an image that supports a conclusion and one that merely accompanies it.
- Survey
A dated set of photos from a single site visit, grouped under the project for that location.
In field documentation software a survey is the set of photographs from one visit to a site, grouped under the project representing that location. The structure exists to keep a chronology without relying on filenames: a property inspected quarterly for three years accumulates twelve surveys under one project, each with its own date, its own photos, and its own report. It is the unit that answers the question a client most often asks, which is what a given place looked like on a given date. Grouping by visit rather than by subject also makes coverage gaps visible, because a survey with far fewer photos than its predecessors is easy to spot.
- Defensible documentation
A record built so it withstands challenge, with verifiable metadata and no unexplained gaps.
Defensible documentation is a record assembled so that it holds up when someone disputes it. The test is not whether the documentation looks professional but whether each claim in it can be traced to evidence that a sceptical reader can verify independently. For photographic records that generally means metadata written by the capturing device rather than entered by hand, timestamps and coordinates that survive from capture through to the final report, captions written close enough to the visit that they are reliable, and coverage complete enough that the absence of a photograph is not itself suspicious. The standard matters most in insurance claims, construction disputes, regulatory filings, and any situation where the documentation may be read by someone whose interests run opposite to yours.
